Barcode, also known as business code, is by definition a method of storing and transmitting information using a type of symbol called barcode symbology. And below the barcode is the corresponding code sequence.

According to the provisions of Article 3 of Decision 15/VBHN-BKHCN of the Ministry of Science and Technology promulgating “regulations on issuance, use and management of codes” according to which “A barcode is a series of parallel dark lines.” and interspersed spaces to represent the code so it can be read by a scanner.” “A code is a series of numbers used to identify items, locations, and organizations.

Barcodes can be read by optical scanning devices called barcode readers or scanned from images using specialized software. Barcodes represent product information such as: Manufacturing country, business name, batch, registered quality standards, product size information, inspection location…

Each product carries only a unique barcode that never changes. For codes: The structure of the most common type of global trade item today in Vietnam is GTIN 13 code consisting of 13 digits. When reading this code we read from left to right in the following order:

– The first three digits 893 represent the GS1 Country Code administered and issued by the GS1 Organization to Vietnam;

– The next four, five, six or seven digits represent the Enterprise Identification Number managed by GS1 Vietnam and issued to organizations using GS1 codes;

– The next five or four or three or two digits represent the Item Identification Number administered and assigned to its items by the organization using the GS1 code;

– The last digit represents the Check Number (calculated from the previous twelve digits according to GS1’s determination algorithm).

Therefore, to ensure the reputation and brand of businesses, using this type of code is a way to differentiate products, as well as create consumer trust.

  1. Register barcode number

Code issuance is performed in the following order:

– Register for use;

– Receive use registration documents;

– Appraisal of documents and issuance of Certificate of Use Rights;

– User manual;

a) Register to use the code:

 

Organizations/businesses that want to use the code must register to use the barcode at the agencies designated by the General Department of Standards and Quality to receive application registration documents (hereinafter referred to as the organization receiving documents).

The registration dossier includes 01 set, specifically as follows:

– Use registration form according to the form specified in Appendix I of this Regulation (02 copies);

– A copy of the Business Registration Certificate for manufacturing, business, and commercial enterprises or a copy of the Establishment Decision for other organizations (Produce the original for comparison, except in the case of a copy). authenticated) (01 copy);

– Product list registration table using GTIN code according to the form specified in Appendix II of this Regulation (02 copies).

b) Receive registration documents to use the code

The organization receiving dossiers is responsible for guiding registered organizations/enterprises to prepare dossiers for registration to use barcodes, receive and pre-process dossiers for registration to use barcodes.

Within no more than 5 working days from the date of receipt of complete dossier, the organization receiving the dossier must transfer the dossier to the General Department of STAMEQ and QUALITY.

c) Appraise documents and issue Certificate of right to use barcodes

Within no more than 03 working days from the date of receipt of the application, the General Department of Standards and Quality will evaluate the registration application to use the code.

If the application is valid, the General Department of Standards and Quality issues the code; Enter the registration book, save it in the code bank and issue a Code Use Rights Certificate.

If the dossier is not valid, the General Department of Standards and Quality recommends that the organization/enterprise complete it.

The certificate of code use rights is sent to the organization/enterprise using the code through the organizations receiving documents within no more than 10 days from the date it is issued by the General Department of STAMEQ and QUALITY. The form of Certificate of Code Use Rights is specified in Appendix IV of this Regulation.

When the organization/business using the code has a change in legal status, name or transaction address or the Certificate is lost or damaged, the organization/business using the code must notify in writing. to the General Department of Standards and Quality to have a new Certificate changed or reissued. The organization/business using the code is responsible for paying the costs of exchanging and reissuing the Code Use Rights Certificate.
